Operational Assistant Manager (East Java) - Chemical Manufacturing and Distribution
Talent Hunts Indonesia is an Executive Search Agency based in Jakarta, currently working with Chemical Manufacturing and Distribution of Flavors, Fragrances, Essential Company, who are looking for talent for their Operational Assistant Manager This position will be responsible for oversee employee discipline, data validation, attendance management, and benefits administration. This role ensures workplace cleanliness, facility maintenance, inventory control, and security management. Additionally, the Operational Assistant Manager will handle labor reports, regulatory compliance, and internal policy enforcement to maintain a smooth and efficient workplace environment.

Job Description:
- Monitor Employee Discipline: Ensure employees adhere to company policies and conduct daily inspections of employee behavior and discipline. Take appropriate disciplinary actions when necessary.
- Employee Data Validation: Ensure the accuracy of employee records, including personal data, employment history, and any other relevant information.
- Absence Management: Administer the employee attendance system, including scheduling work shifts, overtime, and tracking employee absences.
- Monitor Employee Leave and Health: Keep track of employee leave, including sick leave, vacation days, and other forms of leave.
- Employee Benefits (BPJS): Ensure that employees are enrolled in the BPJS Ketenagakerjaan (Employment Social Security) and BPJS Kesehatan (Health Social Security) programs and that contributions are accurately processed.
- Daily Inspections - Discipline and Order: Perform daily inspections to ensure employees are adhering to workplace discipline and maintaining order in the company premises.
- Daily Inspections - Cleanliness: Conduct daily inspections to ensure a clean and tidy working environment, including common areas and individual workspaces.
- Facility Maintenance Checks: Oversee regular inspections of the company’s facilities, including equipment, infrastructure, and workspaces, ensuring everything is well maintained and functional.
- Inventory and Facility Management: Manage the company’s facilities and inventory needs, including ensuring the availability of equipment and supplies required by employees. Organize and optimize office space layout.
- Cleaning Service Management: Organize and supervise the cleaning service team to maintain cleanliness standards throughout the company premises.
- Security Management: Oversee and coordinate the security team to ensure the safety and security of the workplace and employees.
- Labor Reports & OSS Management: Prepare and submit regular reports related to labor issues, including those required by government agencies or the OSS system.
- Regulation Management: Ensure the implementation of company regulations, and manage any changes or updates to operational procedures or internal policies
Requirements:
- Bachelor’s degree in Business Administration, Human Resources, or related fields.
- At least 3 years of experience in operational management, HR, or related roles.
- Familiarity with employee benefits management (BPJS Ketenagakerjaan and BPJS Kesehatan).
- Strong knowledge of labor laws and company regulations.
- Proven experience in managing teams (security, cleaning service, etc.) and overseeing workplace discipline.
- Strong leadership and interpersonal skills to manage and motivate teams.
- Excellent organizational and time-management skills.
- Strong attention to detail, especially in monitoring attendance and operational systems.
- Good communication skills to report and discuss employee performance and company regulations.
- Problem-solving ability and conflict resolution skills for handling employee discipline issues.
- Knowledge of HR management software and attendance systems.
- Ability to conduct regular audits and inspections to ensure compliance.
- Strong work ethic and professional integrity.
- Ability to work under pressure and handle multiple responsibilities simultaneously.
- Proactive, with a hands-on approach to managing daily operations.

- Certification or training in operational management, HR, or related fields.
